Cuvanti compared with classic property management software
Classic property management software keeps records and leaves the work to you: every bank line coded by hand, every tenant e-mail read and answered, every statement built at month end. Cuvanti keeps the same records and does the routine work on top of them, then puts only the exceptions in front of a person. The table shows the difference task by task, as both sides stand today.
Task by task
| Task | Classic software | Cuvanti |
|---|---|---|
| Receipts and bank statements | Entered and coded by hand, line by line. | Bank-feed matching with rules that learn; receipt capture with automatic matching; only the exceptions are put in front of you. |
| Tenant enquiries | A mailbox you work through yourself. | One inbox for web, e-mail, SMS, WhatsApp and WeChat; replies drafted from the property's own details; nothing is sent without approval. |
| Statements | Templates and a calculator; the rest by hand. | Operating-cost and owner statements come from the posted accounts, so the statement and the books cannot drift apart. |
| Accounting | A side ledger, or an export into a second program. | Full double-entry accounting per property and per organisation, local tax forms and accounting exports, trial balance, profit and loss, balance sheet and cash flow. |
| Owners | A statement e-mailed as a PDF. | An owner portal: statements, spending approvals above a threshold, cash position per property with a reserve target, year-end documents to download. |
| Tenants | Phone and e-mail. | A tenant portal to pay, report and sign; an arrears ladder with payment plans and the market's notice rules. |
| Maintenance and service providers | A ticket list; tradespeople by phone. | Tickets with photos, routed to your own vendor list; quotes and invoices in the vendor portal; owner approval above a threshold; response times by priority. |
| Leasing | Listings written by hand, portals one at a time. | Listing page and portal publication, published viewing times, a leasing enquiry agent that drafts replies for approval. |
| Sales and short stays | Not included; separate programs. | Sale campaigns and a deal room with buyer, solicitor and agent access; short stays kept in step with the booking channels through a channel manager, no double booking (guarantee terms apply). |
| Markets and languages | One country, one language. | Eight markets and six languages, with each market's own rules in the product; where a rule applies, Cuvanti names the law it comes from. |
| Price | Per unit, minimum term, modules at extra cost. | Per organisation, published, no minimum number of units, no module surcharges, month to month; the first payment is refunded within 30 days (guarantee terms apply). |
| Getting started | Migration, training, switch-over. | Export from the current system, we load the data and return a review checklist; two to four weeks with both systems side by side; cutover at month end, when you say so. |
| Control | You fill in every field. | The software does the routine; anything touching money or a tenancy is still decided by a person. |
Where classic software is the better fit
If your current program has been set up for years, its accounting satisfies your accountant and you do not need portals for owners, tenants and service providers, there is no reason to move.
Cuvanti pays off when a system is being discontinued or its price is rising, when owners ask for visibility, or when the business should grow without adding staff.
Questions managers ask
- Do I have to replace my current system straight away?
- No. Cuvanti runs beside it for two to four weeks on the same data, and a data check shows every field still missing. The cutover date is your decision.
- What happens to my data?
- You export from the current system (properties, units, tenants, open balances); we load it and send back a review checklist. Your data can be exported at any time and is deleted at the end of the contract.
- Does the software decide on its own?
- No. It drafts, matches, sorts and reminds. Anything that touches money or a tenancy waits for a person, and every automatic message says that it was written automatically.
- What does Cuvanti cost?
- One price per organisation, published on the pricing page, with no minimum number of units and no module surcharges. The first payment is refunded within 30 days (guarantee terms apply).
